Receptionist & Legal Assistant
The Receptionist/Legal Assistant will serve as our clients’ first contact at Zacharia Brown’s McMurray Office and will be responsible for the administrative and legal tasks that help keep a law office running smoothly. This role will include managing reception of clients in our McMurray Office, answering phones and scheduling existing client consultations and documents signings, and working with attorneys and other legal assistants to coordinate management and organization of client files, preparation of documents, and keeping track of other day-to-day considerations. Being detail-oriented is a necessity and individuals who can manage several types of tasks at once are strongly suited for the position. This position allows for development and growth within the firm.
SUMMARY: ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Serving as first point of contact for clients and potential clients by answering the phones and greeting clients as they come into the office.
2. Scheduling existing client document signings and consultations for Zacharia Brown attorneys.
3. Communicate and correspond with existing clients to obtain necessary information and documents that are needed by the attorney for document signings and appointments.
4. Copy and Scan documents for client files and communicate and coordinate with the paralegals, legal assistants and attorneys to manage file maintenance.
5. Work with paralegal and legal assistants to review and distribute mail to attorneys for McMurray.
6. Work with attorneys to assist as needed with deed preparations and recording of deeds
7. Work with the business manager, staff and attorneys to manage the ordering of office supplies.
KNOWLEDGE, SKILLS AND ABILITIES:
1. Self-starter and strives for excellence
2. Experience in a law firm, and more specifically Estate Planning/Administration is helpful, but not required
3. Extremely organized and has the ability to manage several types of tasks at one time
4. Must be comfortable with talking on the phone and typing at the same time and also have the ability to correspond professionally through letters and email.
5. Strict attention to details in time management for overseeing client appointments and deadlines.
6. Constantly looking for ways to improve the processes that are in place
7. Highly personable and enjoys working directly with clients and co-workers.
8. Very motivated with a desire to learn more about Estate and Elder law.
9. High level of competence in utilizing technology (such as Microsoft Word, Adobe Acrobat), as well as an understanding of Microsoft Excel and eagerness to learn more about technology.
10. A successful candidate should already be a notary in the Commonwealth of PA, or be willing and able to become a notary.
FULL-TIME POSITION
Full-time position (5 days-per week). 9:00am – 5:00pm (M-Th); 9:00-3:00pm (Fr).
